Wilmington AI Consulting

Questions, answered.

Everything Wilmington business owners ask about working with an AI consultant — pricing, tools, privacy, training, and what actually gets built. If your question isn't here, call or text and you'll have an answer within the day.

I know nothing about AI. Is that a problem?Getting Started
Not at all — most of my clients started exactly there. You don't need to understand how AI works any more than you need to understand how your phone works. If you can describe how your business runs, I can show you where AI fits, and everything gets set up and explained in plain English.
What happens in the free assessment?Getting Started
A 15-minute phone call first, where you tell me how your business runs and where your time goes. If it makes sense, I'll visit your shop or office (or hop on video) for about an hour to watch how the work actually flows. Within a few days you get a written one-page summary of your top 3 AI opportunities — yours to keep whether or not we work together.
Do I have to commit to anything to get the assessment?Getting Started
No. The assessment is genuinely free, and the written summary is yours either way. If AI isn't a fit for how you operate, I'll tell you that in writing and we part as neighbors. No follow-up sales sequence, no pressure calls.
How do I know if my business is a good fit for AI?Getting Started
Quick test: do you or your staff spend hours each week on repetitive work — writing quotes, answering the same questions, chasing invoices, posting to social media, sorting email? If yes, you're a fit. The businesses that benefit most are the ones drowning in admin, not the ones with the most technology.
What's the first step if I want to move forward?Getting Started
Book the free assessment or just call or text. After the assessment, if you want to proceed, you get a written proposal with one defined deliverable, one timeline, and one fixed price. Work starts when you say go.
How long does a typical first project take?Getting Started
One to three weeks from kickoff to a working system, and it needs only two to three hours of your time total across the whole project. You keep running your business; I do the work.
What does a first project cost?Pricing & Engagements
Most first projects run in the low four figures — fixed scope, fixed price, agreed in writing before any work starts. No hourly meters, no surprise invoices. The free assessment tells you the exact number for your situation before you commit to anything.
Are there ongoing fees?Pricing & Engagements
Only if you want ongoing support. Monthly support — tuning, updates, new automations as you grow — is optional and month-to-month. If you skip it, everything I built keeps working without me. That's by design.
What does the AI Readiness Audit for larger companies cost?Pricing & Engagements
It's a fixed fee scoped to company size — typically the cost of a few weeks of one employee's time, for a roadmap that usually identifies savings worth many times that. You'll know the exact fee after a short scoping call, before you commit.
Do you charge hourly?Pricing & Engagements
No. Every engagement is fixed-scope with the price agreed up front. Hourly billing rewards slow work and makes your costs unpredictable — fixed scope keeps the incentives honest.
Are there any software costs on top of your fee?Pricing & Engagements
Sometimes, and I'll always tell you before anything is set up. Most systems run on tools with modest subscriptions — typically $20–100/month total depending on what we build. Where a free tier does the job, we use it. You own all the accounts, so you see every cost directly.
What if I want to stop or cancel?Pricing & Engagements
Fixed projects end when they're delivered — there's nothing to cancel. Monthly support cancels anytime with a text message, and everything keeps working after you do. There are no contracts that outlive their usefulness.
I'm a one-person operation. Is this overkill for me?For Service Businesses
The opposite — solo operators benefit most, because there's no office staff to catch what you miss. A missed-call response system and automated review requests alone can change a one-person business. Most solo first projects are also the smallest and cheapest.
What can AI actually do for a trade business like mine? For Service Businesses
The big six: draft quotes and invoices from your voice notes, answer missed calls instantly by text, keep your schedule organized with automatic confirmations, write your marketing posts and customer emails, request and respond to Google reviews, and prep your bookkeeping. Each one is a few hours a week you get back.
Will the AI talk to my customers without me knowing? For Service Businesses
Only in ways you've approved, with scripts you've reviewed. Every conversation is logged and summarized for you daily, and anything unusual routes straight to your phone. You can tighten or loosen the leash anytime.
I miss calls when I'm on a job. How does the missed-call thing work? For Service Businesses
When you miss a call, the caller instantly gets a text that asks the right questions for your trade — what's the problem, where are they, can they send a photo — and offers appointment options. You get the whole exchange summarized. Callers who would have dialed your competitor instead get helped on the spot.
Can it handle quoting for my specific trade? For Service Businesses
Yes — quote templates get built around your actual services and pricing, whether that's panel upgrades, water heater swaps, system replacements with good/better/best options, or lawn care packages. You describe the job by voice; a finished professional quote is ready before you leave the driveway.
My customers are older and like phone calls. Will this put them off?For Service Businesses
The systems meet customers where they are — a text-back for missed calls, but your phone still rings first. Nothing replaces you answering when you can; it catches what happens when you can't. Most customers experience it as 'this company responds fast,' not 'I talked to a robot.'
What is an AI Readiness Audit? For Growing Companies
A fixed-fee, two-week assessment of your workflows, data, tools, and team. I interview department leads, map where time actually goes, and evaluate what your systems can support. You get a prioritized roadmap with every opportunity scored by impact, effort, and risk — plus a recommended first pilot with a realistic budget.
We tried ChatGPT licenses and nobody uses them. Why would this be different? For Growing Companies
Because licenses aren't a strategy. Tools get adopted when they're wired into actual workflows with training built around real tasks — not when they're handed out with a memo. The audit finds the workflows where AI saves real time, and the training teaches your people on their own work, not generic examples.
How is this different from hiring a big consulting firm? For Growing Companies
You get a senior practitioner, not a slide deck and a junior team. Engagements are fixed-fee, measured in weeks not quarters, and end with working systems and trained people. And I'm local — in your building, not on a flight home.
Which departments usually benefit first? For Growing Companies
Wherever text and documents pile up: customer service (drafting responses, summarizing tickets), operations (reports, SOPs, scheduling), finance (invoice processing, reconciliation prep), and sales (proposals, follow-ups, CRM hygiene). The audit ranks yours by impact and effort rather than guessing.
Can you build custom internal tools for us?For Growing Companies
Yes — document processing pipelines, internal knowledge assistants trained on your procedures, customer-response drafting, reporting automations. Built on Claude, integrated with your existing systems, delivered with documentation and admin training. You own all of it.
How do we keep employees from misusing AI?For Growing Companies
With a written acceptable-use policy fitted to your business — what's safe to put into AI tools, what never is, and which tools are approved. It's included in every training engagement, along with hands-on sessions so people understand the why, not just the rules.
What AI tools do you use?Tools & Technology
Primarily Claude by Anthropic — the same AI that powers this site's systems — connected to the software you already run. Where another tool is genuinely better for a job, I use that instead. I sell outcomes, not a particular vendor.
Will this work with the software I already use?Tools & Technology
Almost certainly. I regularly integrate with QuickBooks, Jobber, ServiceTitan, Housecall Pro, FieldEdge, Toast, Clio, Google Workspace, Microsoft 365, and most common CRMs. The setup connects to what you run rather than replacing it.
I'm still on paper and a phone. Can you work with that?Tools & Technology
Yes — we just start simpler. Usually that's a missed-call text-back system and voice-dictated quotes, which need nothing but your existing phone number. Plenty of clients digitize gradually from there, at their own pace.
Do I need new hardware or a fancy computer?Tools & Technology
No. Everything runs in the cloud and works from the phone in your pocket and whatever computer you already have.
What happens if an AI tool I depend on shuts down or changes?Tools & Technology
Everything is built on established providers, documented in plain English, and owned by you — so nothing is locked to me or to any single vendor where avoidable. If a tool changes, support clients get migrated as part of the service; others get an honest written recommendation.
Does AI ever get things wrong?Tools & Technology
Yes — which is why every system is designed with that in mind. Customer-facing messages use approved scripts, drafts get reviewed by you before sending where it matters, and anything high-stakes (pricing, legal, safety) always has a human checkpoint. The goal is AI doing the busywork, not making your judgment calls.
Is my business data used to train AI models?Data, Security & Privacy
No. The tools I deploy are configured so your data is not used for model training. That's a hard requirement in my vendor selection, and it's written into how every system gets set up.
Will you sign an NDA?Data, Security & Privacy
Yes — for consulting engagements it's standard before any audit begins, no asking required. For smaller projects, happy to sign yours or provide mine.
Where does my customer data live?Data, Security & Privacy
In accounts you own — your CRM, your Google account, your invoicing software. I set systems up inside your accounts rather than mine, so access, exports, and deletion stay under your control.
How do you vet the tools you recommend?Data, Security & Privacy
Every recommended tool gets a review of its data handling, retention policies, training-data practices, and compliance posture. If a tool is cheap but sloppy with data, it doesn't get recommended — that trade-off is never worth it.
What about HIPAA or other compliance requirements?Data, Security & Privacy
Regulated businesses (medical, dental, legal, financial) need extra care: BAAs where required, tools with the right certifications, and tighter boundaries on what AI touches. I'll be straight with you about what's safely automatable in your situation and what isn't.
What access do you need, and do you keep it?Data, Security & Privacy
During setup, only what the project requires — and you grant it, so you can see and revoke everything. After handoff, access gets removed unless you're on monthly support and prefer I keep it for maintenance. Either way, every credential is yours.
Will you train me and my staff?Training & Support
Yes — hands-on training is included with every project, built around your real work rather than generic demos. You also get cheat sheets written in plain language, so the system survives staff turnover.
What if something breaks after the project ends?Training & Support
If it's something I built and it's genuinely broken, I fix it — that's covered, not billed. For tweaks, changes, and new ideas after handoff, that's what optional monthly support is for, or a small fixed quote if it's a one-off.
What does monthly support include?Training & Support
Keeping everything tuned and current, adjusting systems as your business changes, adding new automations as opportunities come up, and being a text message away when you have a question. Month-to-month, cancel anytime.
My team is worried AI will replace them. How do you handle that?Training & Support
Directly — it's the most common worry in every training session. The systems I build remove the repetitive 20% of a job nobody enjoys, which makes the people more valuable, not less. Teams usually go from skeptical to protective of the tools within a month.
Can you train just one 'champion' on our staff instead of everyone?Training & Support
Yes, and for many businesses that's the right model: one office manager or operations lead becomes the internal expert, and I train and support them. It's cheaper and often sticks better than training everyone at once.
Is there documentation, or does the knowledge live in your head?Training & Support
Every system comes with plain-English documentation: what it does, how to use it, what to check if something looks off, and how to turn it off. If I disappeared tomorrow, your systems and your team would keep working.
How much time will this actually save me?Results & ROI
Typical first projects save 4–10 hours a week, depending on what we automate. A missed-call system also recovers jobs you're currently losing without knowing it — for most trades, one recovered service call a month more than covers the cost.
How quickly will I see results? Results & ROI
Usually the first week the system is live. A quote system saves time on the first quote; a missed-call system catches its first lead within days. This isn't a six-month transformation program — it's working software doing visible work.
How do I measure whether it's working?Results & ROI
Every project defines its measure up front: quotes sent same-day, calls answered, reviews collected, hours saved. Support clients get a simple monthly summary of those numbers. If the numbers aren't moving, we fix the system — that's the point of measuring.
What kind of ROI do larger companies see from the audit? Results & ROI
The roadmap typically identifies savings worth many times the audit fee, concentrated in two or three workflows you already suspected were inefficient. The honest answer: ROI depends on whether you act on the pilot. That's why the roadmap comes with a recommended first step, not just analysis.
What if it doesn't work for my business? Results & ROI
Then you'll hear it from me first. If the assessment shows AI isn't a fit, I tell you in writing for free. If a delivered system isn't doing its job, I fix it. I'm local — my reputation in this town is worth more than any single project fee.
Can you share examples of what you've built? Results & ROI
Yes — the Results page has case studies, and during the assessment I'll walk you through examples relevant to your trade with real numbers. Ask me anything about how they were built; nothing I do is a black box.
Are you actually based in Wilmington?Working Together & Local
Yes — I live and work here. Assessments happen at your shop or office whenever possible, and when something needs adjusting you call or text me, not a ticket queue in another time zone.
What areas do you serve?Working Together & Local
Wilmington, Wrightsville Beach, Leland, Hampstead, Carolina Beach, Ogden, and Porters Neck — plus the wider Cape Fear region. For consulting engagements, video works fine for companies further afield.
Why hire a local consultant instead of an online service?Working Together & Local
Because setup is where AI projects live or die, and setup is easier in person — watching how your calls actually flow, sitting with your office manager, fixing the thing that's weird about your workflow. Online services sell you software; I'm accountable to you at the coffee shop.
How fast do you respond?Working Together & Local
Within one business day, usually much faster. Texts get answered evenings and weekends. If a system you depend on is down, that jumps the queue.
Who owns everything after the project?Working Together & Local
You do — every account, login, and system is set up in your name from day one. No lock-in is a feature: everything keeps working whether or not we ever work together again.
Can we just talk before I book anything?Working Together & Local
Of course. Call or text — if you'd rather describe your situation over the phone before putting anything on a calendar, that's a perfectly good first step.
